Choosing Field Service Software by Technician Count

Short answer

At 1–2 technicians, simple scheduling, quoting and payments matter most. At 3–5, dispatching and accounting sync become essential. At 6–10, service agreements, reporting and user roles matter. Beyond 10, look at multi-location, advanced reporting and inventory. Published user limits also change price: Jobber publishes plans to 15 users, Housecall Pro includes 1, 5 or 8 users by plan.

Why team size changes the answer

Software that is perfect for a two-person shop can become a bottleneck at ten technicians, and enterprise platforms can overwhelm a small team. Count all users: technicians plus office staff.

Segment-by-segment

1–2 technicians. Prioritize low admin effort: online booking, quotes, invoicing, payments and a mobile app. Published pricing helps you avoid long sales cycles.

3–5 technicians. Dispatching and an accounting sync become essential. Watch plan user caps: Housecall Pro Basic includes 1 user, Essentials 5. Jobber's Connect and Grow are priced at 1, 5, 10 and 15 users.

6–10 technicians. Maintenance agreements, reporting and user permissions matter. Several vendors place service agreements on top plans.

11–25 technicians. Look at custom reports, call booking workflows and inventory. Jobber's published pricing stops at 15 users, so larger teams need a quote.

26+ technicians. Multi-location management, advanced reporting and implementation support dominate. Expect quote-based pricing and a vendor-led rollout.
